So an exam-wise filing system splits the ninety percent that should be unified, in order to accommodate a ten percent that would have fitted on four pages. That is the whole reason the system fails.
Rewriting the same concept under a second exam's heading because it came up again there. This feels like thoroughness and it is duplication. You now have two versions of one idea that will drift apart, and in the final week you will not know which one you trusted.
The Three Layer System: One Place for Each Kind of Thing
Everything you would want to write down during a season falls into exactly three categories, and each needs a different treatment. Keeping them separate is what makes the whole thing usable.
- Concept notes, organised by topic. One entry per concept, updated rather than duplicated, shared across every exam you sit.
- Exam mechanics, one page per paper. Sections, timings, marking, revisit rules. Short, factual, rarely changed.
- Error log, chronological. What you got wrong and why, dated. This one is a diary and it is meant to be messy.
Layer 1: Concept Notes That Get Updated, Not Repeated
Organise by the structure of the subject: arithmetic, algebra, geometry, reading comprehension, verbal reasoning, arrangement logic. When you meet a concept again on a different paper, open the existing entry and add to it rather than creating a new one.
The test of a good concept note is that it is shorter than the explanation you first read. If you are transcribing, you are copying rather than compressing, and a transcription will never be reread because it offers nothing the original did not.
Layer 2: One Page of Mechanics Per Exam
This is the layer that genuinely is exam-specific, and it should be brutally short. Question counts, section times, whether sectional walls exist, the marking scheme, and whether you can return to a question. That is usually a dozen lines.
It matters more than its length suggests, because these mechanics drive strategy. Knowing that one paper has no negative marking while another penalises wrong answers changes how you behave in the room, and that is exactly the thing you want to reread the night before.
Layer 3: An Error Log That Records Causes
Keep this chronological and keep it separate from concept notes. The entry that matters is not which question you got wrong, it is why: misread the constraint, rushed the calculation, picked the option that felt right without checking the text.
Patterns show up within a few weeks, and they are usually narrower than expected. Most aspirants have three recurring error causes, not fifteen, and seeing them listed repeatedly is what makes them fixable.
Tag each concept note with the exams it applies to rather than filing it under them. A single line reading "applies to CAT, NMAT, CMAT" at the top of an entry gives you the filtering benefit of exam-wise notes with none of the duplication, and it takes two seconds to write.
What Actually Differs Between the Papers
The mechanics layer is worth building carefully, because the differences are genuinely strategic rather than trivial.

Read down those two columns and the strategic consequences are immediate. On NMAT you answer everything because blanks are free losses. On XAT you cannot skip indefinitely because unattempted questions carry their own penalty beyond a threshold. On CMAT you must impose your own time discipline because the exam imposes none.
None of that is content, and none of it can be derived from your concept notes. It is why the mechanics layer exists as its own thing.
What a Good Concept Note Actually Looks Like
The advice to compress rather than transcribe is easy to agree with and hard to apply, so it is worth being concrete about what the finished thing should contain.
A useful entry has three parts. The trigger, which is how you recognise that this concept applies: the phrasing or the shape of question that signals it. The move, which is what you actually do, stated in one or two lines. And the trap, which is the specific way you personally got it wrong the first time.
The trap is the part most aspirants leave out, and it is the part that makes the note yours rather than a copy of a textbook. "Percentage change, reverse direction: a 25 percent rise then a 25 percent fall does not return to the start" is worth more than a paragraph explaining percentage change correctly, because the paragraph is available in any book and the trap is the thing that cost you marks.
If an entry runs past four or five lines, it is usually two concepts pretending to be one. Split it.
When to Build the System, and When Not To
Timing matters here, because building a notes system is itself a way of not studying, and it is a particularly convincing one.
The right moment is early, when you have enough material to organise but not so much that migration becomes a project. An afternoon in the first month of serious preparation is ideal. The system is then in place before the volume arrives.
The wrong moment is the final six weeks. If you reach November with four disorganised notebooks, do not rebuild them. The migration will consume days you cannot spare and it will feel productive the entire time. Instead, extract just the one page of recurring error causes and the four mechanics pages, and leave the rest as it is. Those five pages carry almost all the value you would have recovered from a full reorganisation, at a tiny fraction of the cost.
A messy system you are actively using beats a clean one you built instead of practising.
Choosing Between Paper and Digital
The format question generates more debate than it deserves, and the honest answer is that the structure matters far more than the medium.
What Paper Is Genuinely Better At
Writing by hand forces compression, which is the single most valuable property of a good note. It is also faster for diagrams, Venn logic and arrangement grids, which matter for reasoning work. The cost is that paper cannot be searched or reorganised.
What Digital Is Genuinely Better At
Search is the whole argument, and it is a strong one in the final weeks. Digital also lets you update an existing entry cleanly rather than adding a cramped margin note, which directly supports the update-do-not-duplicate rule.
The hybrid usually wins. Concept notes and diagrams on paper, mechanics and error log digital. The concept work benefits from handwriting and is reread in blocks rather than searched. The error log benefits from being sortable, and the mechanics pages are things you want on your phone the night before an exam.
Mentors reviewing preparation systems find the same thing repeatedly: the aspirants with the most elaborate notes are rarely the ones scoring highest. Elaborate notes are often a way of feeling productive while avoiding practice. A thin set of notes attached to a lot of solved questions beats a beautiful set attached to few.
